Front desk: the daily workflow Current screen guide. Narration updated October 7, 2026. Administrator and front desk: demonstration menus and sample records. Customer: signed-out views; no private guest data. 00:00 Begin your shift Welcome to the front desk guide. Sample records are shown throughout this lesson. Use your own staff login, open the property workspace and confirm the correct property. Start with Overview. Review arrivals, departures, in house guests and requests before handling the next guest. 00:19 Find and review a reservation Open Reservations. Choose Arrivals, Departures, In house or All stays to focus the list. Use the reservation search when you need a specific guest or reservation. Open the details and confirm the guest, rental, arrival date, departure date and current status before making any change. 00:40 Check the booking details This sample detail window shows the guest, assigned rental, dates and expected arrival status. In your live workspace, also review the reservation and invoice details and payment balance using the corresponding property tools. Resolve date, rental or balance discrepancies before check in. Do not treat an expected arrival as an already checked in stay. 01:05 Create or change a booking For a new booking, locate the existing guest record first to avoid duplicates. Use Register a guest when a new record is needed. Open Make a New Reservation from Property tools. Review the dates, rental selection, availability and price before saving. Use Edit Reservation for changes and review the updated invoice. Follow the property payment process; this guide does not submit a charge. 01:33 Separate stay requests from arrivals There are two different request workflows. The customer app submits a request for a future stay, which staff must review and confirm through the property booking process. Arrival requests in this workspace are remote check in or front desk assistance requests for a stay. Marking an arrival request reviewed does not check the guest in. Verify the reservation status separately. 01:58 Confirm the rental is ready Check rental readiness before arrival. Follow up on housekeeping, maintenance and quality issues that could affect the assigned rental. A completed task is part of the workflow. Confirm that the property readiness status has also been reviewed by the responsible team. Keep a rental on hold when it is not ready. Do not promise self check in while an eligibility requirement is unmet. 02:25 Complete the arrival workflow At arrival, confirm the guest and the correct reservation, rental and balance. Follow the property check in policy. For self check in, the system requires an eligible reservation, a ready rental, a completed balance and no current guest in that rental. After completing the applicable live check in workflow, verify the final reservation status. A reviewed assistance request alone is not confirmation. 02:53 Handle departure and handover Review Departures and follow the property checkout process. Resolve outstanding invoice questions using the authorized tools. Coordinate cleaning and maintenance for the next arrival and record issues where the next shift can find them. Finish with a clear handover: upcoming arrivals, unresolved requests, rental holds and any guest follow up. 03:17 Check your work and protect access Use the available rental and check in or check out reports to check the work completed during your shift. If a necessary tool is missing, ask the client administrator to review your assigned roles and enabled modules. Do not share staff passwords. Sign out when you finish, especially at a shared front desk computer.
